If the cost of the space rental is $100 or lower, or if the event is within 30 days, the entire rental fee is due with the signed User Agreement. If the cost of the space rental is over $100, 50% of the rental cost needs to accompany the signed User Agreement. The remaining balance is due 30 days before the event. A separate $100 Security/Damage Deposit check is required for all events with more than 20 guests. If the cost of the space rental is above $1000, then 10% of the cost of the rental is required as a Security/Damage Deposit.
Security/Damage Deposit checks will be held until after the event. If damage does occur or items are missing, costs will be deducted and the remaining balance will be returned along with an explanation of any deductions within 21 days of the event. If damage or missing items exceed the cost of the Security/Damage Deposits, you will be billed as necessary. Security/Damage Deposits may not be credited toward space use fees.
Checks should be made out to RGC Real Estate LLC and dropped off in person or mailed to:
702 E Johnson St
Madison, WI 53703
Reservations cancelled less than 7 days prior to the event date will result in forfeiture of all fees. The Security/Damage Deposit will be returned unless full payment for the rental has not been paid. If cancellation occurs within 14 days of the event date, 50% of space fees are due. If cancellation occurs within 30 days of the event date, 25% of space fees are due. If cancellation occurs more than 30 days prior to the event date, all fees and Security/Damage Deposit will be fully refunded.
Space Rules and Regulations:
The facility user who signed the contract must be on premises for the duration of the event and is responsible for the conduct of the guests.
702WI is a shared workspace. If you did not reserve both rooms (main room and kitchen/conference room) there may be another meeting or work taking place in the kitchen/conference room. If you do not reserve the smaller room, you do not have access to the kitchen.
Users do not have access to the storage closet or utility room. The bathroom is available for use with any reservation.
Temperature is controlled by 702WI for the overall space and will be adjusted to a comfortable temperature based on the day. 702WI's furnishings are the sole property of 702WI. They
may never be removed from 702WI, and they
may only be moved upon approval of 702WI staff.
Any damage to or loss of 702WI Furnishings and exhibited artwork are the responsibility of the facility user who may be liable for the full replacement cost of any items damaged.
The facility user is responsible for making sure guests are consuming alcohol safely and moderately. Alcohol cannot be sold at events or provided at ticketed events. Smoking is not permitted inside 702WI. Since there is a residence upstairs and next door, there is also no smoking within 20 feet of any entry door, and there is no designated outdoor smoking area. Bad weather will effect rules about floor coverings and footwear so as not to damage rugs and floor. No amplified music is allowed.
The kitchen has a refrigerator for storing and chilling food, and a toaster oven for heating some foods. It is not a commercial kitchen. There is an instant hot water tap on the left side of the kitchen sink. You must bring in your own linens, utensils, dishware, flatware, glassware, beverage containers, and dish towels. The rental does not include use of 702WI's utensils, cookware, dishware, flatware, etc. 702WI does not supply disposable cups, plates, serving ware or napkins. Countertops and tabletops need to be protected if serving hot food.
Decorations and Presentations:
The use of nails, screws, or other fasteners is prohibited on walls, doors, ceilings, and surfaces. Painters’ tape and wall hangers using 3M Command Strips are allowed to affix decorations or posters, but they need to be removed with care. Candles or any use of fire is not allowed. Table, chair, and floor coverings must be used for events involving food, art and craft activities, and any other activity that may damage tables, chairs, rugs, and floors.
Facility users should leave 702WI in a clean and orderly condition. Floors should be vacuumed or swept, and spills cleaned in all spaces used. Tables and chairs should be wiped off and cleaned of any spills or food residue.
Vacuum and broom are located in the utility room.
Cleaning supplies are located under the kitchen sink. If using the kitchen, all surfaces and appliances should be cleaned. Make sure all appliances are turned off. All trash and recycling containers must be emptied and removed from space. Remove all of your decorations and personal belongings. Failure to comply with these requirements and any damages will be billed as necessary.
Facility users must comply with the terms of this agreement. Failure to comply can result in the forfeiture of your deposit and future use. 702WI reserves the right to end any event or usage if these rules and policies are not followed.
